Board of Directors


President

The chapter President’s fundamental responsibility is to lead the board of directors in their governance of the chapter.  The President should be an active member of the chapter who has served the previous year as the President-elect. It is essential that the President has strong leadership and communication skills and is knowledgeable about chapter governance.

  • Oversee meetings of the board and chapter, including agenda development and meeting facilitation.
  • In partnership with the board and committee chairs, develop the future goals and annual objectives for the chapter.
  • Based on the annual objectives, formulate the annual budget for the chapter in partnership with the board and committee chairs.
  • Provide for the ongoing monitoring and evaluation of annual objectives.
  • In partnership with the board, develop and maintain a viable succession plan for chapter officers.
  • Along with the Treasurer, provide oversight for the chapter finances and ensure financial controls are in place to protect the chapter’s finances from misuse or fraud.
  • After approval from National, and in partnership with the Treasurer or appropriate chairperson, execute all contracts on behalf of the chapter. 
  • Ensure regular communication to the chapter regarding progress toward the annual objectives and the financial status of the chapter. 
  • Ensure regular communication with the Chapter Advisor and/or National.
  • Along with the board, ensure the chapter meets all of the obligations to National that are set forth in the Chapter Charter Agreement.
  • Working with the President-elect, annually provide for continuity of the chapter leadership and a board transition meeting.

Secretary

The Secretary shall keep or cause to be kept at the principal office of the Chapter a book of the minutes of the meetings of the Chapter and of the Board of Directors and shall give or cause to be given notice of all meetings of the Board of Directors and members in accordance with these Bylaws.  The Secretary shall also keep or cause to be kept at the principal office of the Chapter the Chapter Charter Agreement, the Chapter Bylaws, and chapter membership roster, and shall in general perform all duties incident to the office of Secretary and such other duties as the Board of Directors may prescribe.

  • As secretary, you are responsible for reaching out and obtaining a sponsor for each monthly meeting. This often requires you to meet with the vendors prior to the meeting. Additionally, you are the person of communication between Saints on Second and the sponsor.
  • During each meeting, you must have all of the members sign an attendance sheet. After the meeting you are to send a thank you to the vendor along with the attendance sheet. Because this position is part of the board of directors you are expected to attend each monthly meeting.
  • You are also required to take minutes at the meeting and send them to the president and webmaster to post on the website.

Treasurer

Treasurer, also the Chief Financial Officer, shall supervise the maintenance of all funds and securities of the Chapter and perform such other duties as may be prescribed by the Board of Directors.

  • Collect all financials for maintaining/updating/retaining all memberships every month.
  • Purchasing and distributing vouchers related to new members and renewing members.
  • Submit quarterly financial reports, utilizing bank statements and Excel spreadsheets, to the national office.
  • Attend each monthly meeting and present a treasurer’s report.
  • Collaborate with all board members in developing a financial plan to make the chapter self-sustaining.
  • You are one of 2 board members who have access to the bank accounts and can deposit or withdraw money.

Membership Coordinator

  • Active in recruiting members to the chapter
  • Present at chapter meeting to assist in signing up new members
  • Maintain database of all current members
  • Prepare monthly report for board meeting discussing recruitment efforts
  • Work with Chapter Treasurer to maintain supply of Discounted Memberships for AACN

Education/Vendor Coordinator

  • Works alongside chapter president to maintain a list of potential vendors
  • Works alongside chapter president to identify speakers, working with the speaker to get the program approved by AACN for CE credit
  • Works with treasurer to ensure honorarium payment to speakers when requested

Ambassador Coordinator

  • Devise strategies to recruit registered ambassadors on each hospital unit in the Central Valley
  • Maintain a database of ambassadors
  • Work with ambassadors and membership coordinator to recruit members and participation in chapter events
